What a Commercial Grounds Maintenance Plan Should Include

A practical structure for specifying tasks, frequencies, standards and communication before appointing a grounds contractor.

A useful maintenance plan starts by dividing the site into clear areas. Main entrances, lawns, verges, hedge lines, shrub beds, paths, car parks and peripheral land rarely need the same frequency or finish.

Each task should have an expected outcome as well as a frequency. “Cut grass fortnightly” is less useful than confirming the areas, mowing standard, edging, obstacle work, clipping removal and what happens when weather prevents a visit.

The programme should also identify seasonal work, access constraints, busy periods, authorisation for additional jobs and the evidence required after each visit. These details give both the client and contractor a clearer basis for managing performance and cost.

A site walkover before pricing helps expose missing areas, unsuitable frequencies and tasks that need specialist equipment. The final quotation can then reflect the property rather than a generic maintenance round.
